Job Title: Administrative Coordinator

Reports to: Law Firm Leader

Summary
This position serves as the welcoming first point of contact for clients, performing diverse administrative support duties with professionalism and enthusiasm while managing multiple tasks and ensuring effective communication to uphold the firm’s commitment to excellence.

Essential Duties and Responsibilities*
  • Greet clients and visitors in a professional, friendly, and courteous manner.
  • Maintain the reception areas in a neat and orderly fashion.
  • Sort incoming mail, faxes, and courier deliveries for distribution.
  • Prepare letters, forms, and notices as required and mail.
  • Scan, copy, and fax documents, as requested.
  • Follow up via email, fax, or telephone regarding asset verifications.
  • Serve as a phone responder to answer phone calls, direct caller to appropriate staff member and/or e-mail appropriate staff member a message related to the call.
  • Maintain supplies and place supply orders.
  • Serve as a witness, as needed for appointments.
  • Handle the organization of files.
  • Print documents and other forms, as needed for appointments.
  • Maintain confidentiality of all client and firm matters.
  • Alert the supervisor or Law Firm Leader to potential threats to the success of the firm. 
  • Participate in special events including seminars and marketing events, as requested.
  • Assist the Law Firm Leader with special projects, as requested.
Recommended Qualifications
  • High school diploma or equivalent; associate or bachelor’s degree preferred
  • Strong interpersonal and communication skills
  • Proficiency with office software (Microsoft Office Suite, document management systems)
  • Ability to multitask and prioritize effectively in a fast-paced environment
  • Strong organizational skills and attention to detail
  • Professional demeanor and commitment to client confidentiality
  • Ability to work independently and as part of a team

Education and Experience
  • High school diploma or general education degree (GED)
  • Minimum two years of related experience

Skill Set and Abilities:

Language Skills
Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to clients and staff members of the firm.

Reasoning Ability
Ability to apply common sense understanding to carry out simple one- or two-step instructions.

Work Hours
Usual work hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. (one-hour unpaid lunch).
